# Book meeting rooms – in sync with Outlook

> Door James room booking synchronizes bidirectionally with Microsoft Exchange and Outlook through the Graph API: rooms blocked in Outlook cannot be booked in Door James and vice versa. Ad-hoc booking at the room, equipment filters, service orders such as catering and automatic release after a no-show complete the module.

Rooms get booked where planning happens – in Outlook, in Teams, in the app or on the display outside the room. Door James keeps every path in sync.

## Key facts

- **Calendar:** bidirectional Outlook/Exchange sync
- **On site:** displays and ad-hoc booking at the room
- **Services:** catering and support orderable with the booking
- **No-show:** configurable automatic release

## What room booking includes

- **Bidirectional Outlook sync** – Door James reads and writes room calendars through Microsoft Graph. Double bookings never happen in the first place.
- **Outlook add-in** – Since the September 2026 release you can search for a room inside the meeting, check live availability on a timeline and pick it on the floor plan.
- **Ad-hoc booking at the room** – If the room is free, book it on the spot – by QR code or on the display.
- **DoorJames Screen** – Displays and kiosks show live occupancy and are configured centrally from the dashboard.
- **Filter by equipment** – Video conferencing, whiteboard, capacity, accessibility: rooms are found by what the meeting needs.
- **Order services with the room** – Catering, technical support or cleaning can be attached to the booking where Service Bookings is active.
- **Automatic release** – If nobody checks in, the room is released after the configured period.
- **Series and approvals** – Recurring meetings, quotas and approval flows for rooms in high demand.

## The problem behind double bookings

Most organizations already have room calendars – in Exchange, maintained through Outlook. A second booking system next to it creates exactly the problem it was meant to solve: two versions of the truth about one room. Door James therefore does not sit next to Outlook; it works on the same calendars.

Through Microsoft Graph, Door James reads the free/busy status of room resources and writes its own bookings back. Anyone who keeps planning inside the Outlook appointment still blocks the room in Door James, and anyone booking on the floor plan sees the meeting in Outlook. Nobody has to change habits – the gain is visibility and usable occupancy data.

## Making no-shows visible

The biggest lever for meeting rooms is rarely the number of rooms; it is the gap between booked and used time. Door James makes that gap measurable: check-in at the room, automatic release when nobody appears and reports on no-show rates per room and weekday. Often it turns out that the “missing” large meeting room is in fact a blocked one.

## A note on restore scenarios

If a system incident requires a restore to an earlier point in time, Outlook bookings made after that point can temporarily differ from Door James until synchronization catches up. Free/busy queries still prevent conflicts during that window.

## How it works

1. **Find a room** – In Outlook, in Teams, in the app or on the floor plan – filtered by capacity and equipment.
2. **Create the meeting** – The booking appears in the room calendar and in the Outlook appointment; external guests can be invited as visitors.
3. **Start the meeting** – Check-in at the display or by QR code confirms usage. Without a check-in the room is released.

## Frequently asked questions

### What happens when a room is booked in Outlook?

Door James reads the busy status through Microsoft Graph and shows the room as occupied. The other way round, a Door James booking writes the appointment into the room calendar.

### What does the Outlook integration require?

A Microsoft Entra ID integration, an app registration with calendar permissions and – depending on the Graph functions you need – a mailbox in the Microsoft cloud. We work through the details with your IT during the rollout.

### Do we need displays outside the rooms?

No, booking works entirely without hardware. DoorJames Screen is an addition for locations that want occupancy visible on site.

### Can rooms be restricted to certain groups?

Yes. Whitelists, Entra ID groups and approval workflows control who sees and books which room.
