# Evacuation management

> Evacuation management covers the organisational preparation and execution of a building evacuation: assembly points, responsibilities, first aiders, status reporting and, above all, the question of who was present. Digital workplace systems contribute a live presence list derived from check-ins, which replaces a printed list that is out of date the moment it is printed.

## The list problem

Every evacuation concept depends on knowing who should be accounted for. Traditionally that is a printed list maintained by someone, for an event that hopefully never happens – which is exactly why it is rarely current. Visitors and contractors are the most common gap.

Booking and check-in systems invert the maintenance problem: the list is a by-product of daily use. Whoever checked in is on it, whoever checked out is not, and visitors are included through visitor management.

## What such a list can and cannot do

It states who registered their presence. It does not state who is in which room, and it does not detect someone who entered without checking in. For coordination at the assembly point and handover to emergency services that is a substantial improvement over paper; as a safety-critical system it is not sufficient and is generally not offered as one.

## Related duties

In Germany, evacuation planning sits within occupational safety obligations under the Arbeitsschutzgesetz and the workplace ordinance, including designated first aiders and documented emergency procedures. Software supports these duties; it does not discharge them.
