# Office management

> Office management is the operational administration of an office building in daily use: allocating workplaces and meeting rooms, receiving visitors, managing parking spaces and equipment, organising internal events, handling service requests and documenting who is on site. In software terms it is the layer between HR systems, which know the people, and facility management systems, which know the building.

## What the term covers

The term is used in two ways. In job titles, office management describes the role that keeps an office running – from supplier contracts to the coffee machine. In software, it describes the systems that support the recurring operational tasks of that role: booking, reception, allocation, reporting.

This glossary uses the second meaning. An office management system is where a desk is reserved, a visitor is announced, a defect is reported and an occupancy figure is produced.

## What it is not

Office management is distinct from **facility management**, which covers maintenance, technical building services, contracts and asset lifecycle, and from **space management**, which is one part of office management concerned with modelling and allocating floor space. It also does not include access control or building automation.

## Why it is usually fragmented

Most organizations arrive at office management software by accident, adding a booking tool, then a visitor tool, then a spreadsheet. The consequence is not cost but inconsistency: each system holds its own list of people and produces its own numbers, so nobody can state how full the building actually was.
