In short
Door James desk booking lets employees reserve desks through an interactive floor plan or a list view – on the desktop, in the iOS and Android apps or inside Microsoft Teams. Filters by equipment, a colleague finder, recurring bookings, booking on behalf of others and check-in by QR code or geofence are all part of the standard.
Every location is modelled as a digital floor plan. Colours show free, occupied and reserved; one click books the desk.
Employees see who is in the office and when, and book next to them – subject to individual privacy settings.
Dual monitors, sit-stand desk, docking station, quiet zone: assets carry attributes people can filter by.
Scanning the sticker at the desk confirms the booking. Without a check-in the desk is released after the configured grace period.
Optional and voluntary. The radius is evaluated locally on the device; no location history is stored for it.
Assistants and team leads book for others where their role allows it. Admins also book from the Admin Panel.
Lead times, maximum duration, quotas, whitelists and approval workflows are configured per area.
Suggestions based on team presence, past bookings and live availability, with a visible reason.
A list answers the question “is something free?”. A floor plan answers the question people actually ask: “where do I sit – and who sits next to me?” That is why the map view is at the centre of Door James. Each location is created as a digital twin during the rollout: floors, areas, zones and individual assets in their real positions.
Zones make structure visible without assigning fixed seats: a team gets a colour-coded neighbourhood and books freely inside it. Whitelists and blacklists control who sees and books which area.
Desk sharing rarely fails on technology; it fails on unclear rules. Door James models the usual levers directly: how far ahead can people book, how long can a booking run, how many days per week does a group get, does an area need approval, is a desk released automatically without check-in?
These rules can differ per location – important for organizations where one site runs a sharing ratio of 0.6 while another keeps assigned desks.
Every booking, check-in and cancellation creates data that Workplace Analytics can evaluate: real occupancy per floor and weekday, no-show rates, peak days, unused areas. That is the difference between an assumption about space usage and a statement you can defend.
The employee opens Door James, picks a location and date and immediately sees which colleagues have already booked.
On the floor plan or through filters – as a one-off or as a series for fixed office days.
On site a QR scan confirms the booking, or check-in runs automatically through the geofence. Without a check-in the desk is released.
