Your weekly routine
Approve requests, prepare visitors, work through reported defects, set up special arrangements, review reports.
Office management is the role that uses Door James daily. What counts here is not the feature list but the effort per week.
In short
For office and facility teams Door James bundles daily operations in one Admin Panel: manage bookings and requests, welcome visitors and print badges, process reported defects as tickets, plan cleaning based on real usage and send occupancy reports automatically – configurable per location.
Daily work in office management consists largely of channel switching: email for room questions, phone for visitors, notes for defects, Excel for occupancy. Every switch costs time and loses information. Door James brings these processes into one surface where each item is attached to the resource it concerns.
For multi-site organizations the role structure is decisive: a location admin manages their own site, an organization admin all of them. Modules can be activated centrally and filtered regionally – visitor management only where there is a reception desk, for example. That keeps autonomy possible without every branch inventing its own rules.
With a few months of data the role changes: instead of reacting to bottlenecks you can anticipate them. Occupancy reports show which areas are permanently oversubscribed, where no-shows block capacity and on which days cleaning can be reduced.
Create floor plan, areas, zones and assets, set equipment attributes and rules, assign roles.
Approve booking requests, prepare visitors, process defects, block areas during construction.
Use occupancy reports to adjust cleaning, opening hours and quotas.

What disappears
Paper lists at reception, Excel occupancy plans, emails to release rooms, questions about parking.
What is added
Maintaining floor plans, assets and rules – after rollout usually a few minutes per week per location.
After rollout it is mostly changes to the inventory: new assets, refurbishments, changed rules. Daily operations run through lists and notifications in the Admin Panel.
Yes. Roles and location assignment determine who sees and changes what – for example a reception role limited to visitors.
Yes. Areas can be blocked, which cancels existing bookings; for planned interruptions there are activation rules with scheduling.
“Duplicate and replace” transfers ongoing bookings to a new area when the structure stays the same.
Thirty minutes on your own workflow rather than a feature tour – what you would have to do daily, and what would stop being your job.
