Measure occupancy, reduce space and cost

Bookings and check-ins create data. Door James turns it into statements you can use to justify leases, cleaning intervals and floor plans.

In short

Workplace analytics evaluates bookings, check-ins, no-shows, cancellations and visitor numbers and shows real occupancy per location, floor, area and weekday. Automatic reports, exports and multi-location comparison provide the basis for space decisions, demand-based cleaning and CO₂ reporting.

Features

Dashboard with live metrics

Current occupancy, booking activity, check-ins, no-shows, cancellations plus visitor and meeting numbers at a glance.

Occupancy by weekday

The pattern that drives property cost becomes visible: busy Tuesdays, empty Fridays – and the unused potential in between.

Multi-location comparison

Sites can be viewed side by side; anomalies become visible before they turn into a lease renewal.

Automatic reports

Recurring evaluations go automatically to facility management, HR or real estate.

Data export

Usage and booking data can be exported and fed into existing BI reporting.

Demand-based cleaning

Clean what was used. That measurably reduces cost and effort compared with fixed intervals.

From booking to decision

Most organizations know their office space in square metres and their workforce in headcount – but not their actual simultaneous presence. That number is what drives property cost. Door James produces it as a by-product of daily operations: people who book, check in; people who check in are there.

Three kinds of statement follow. First, peak load: how many desks are genuinely needed on the busiest day? Second, the pattern: which areas are permanently empty and which permanently oversubscribed? Third, planning quality: how large is the share of booked but unused resources?

Friday as a worked example

If the report shows 40 per cent occupancy on Fridays, that is just a number. Combined with floor space, rent and cleaning intervals it becomes a decision paper: consolidate areas, close floors on Fridays, reduce cleaning – or distribute office days differently. Door James supplies the evidence; the decision stays with you.

Who it is for

For real estate and finance

Reliable figures instead of estimates when space is renewed, reduced or consolidated.

For facility management

Cleaning and service planning based on real usage instead of fixed intervals.

For HR and people teams

A factual basis for hybrid work rules and team days instead of gut feeling.

Frequently asked questions

Are individual employees evaluated?

The evaluations target spaces and resources, not people. In addition, anonymization periods can be configured after which personal references are removed from the data.

How does Door James know a desk was really used?

From the check-in. Without a check-in a booking stays a reservation; Door James distinguishes the two and shows the gap as a no-show rate.

Can we move the data into our own BI system?

Yes, through exports. For automated transfers we discuss the available interfaces during the rollout.

Do we need sensors?

No. Evaluation is based on bookings and check-ins. Sensor hardware is not part of the standard product.
