Visitor management

Visitor management describes the structured process from inviting external guests through registration and check-in to check-out – increasingly digital and self-service.

In short

Visitor management describes the organized handling of external guests: invitation, pre-registration, check-in on site, badge, host notification, where required a safety briefing, and check-out. Digital systems replace the paper list at reception with a documented, evaluable process that can be designed to meet data protection requirements.

The four purposes behind it

First, reception: guests should know where to go and not wait. Second, safety: the organization must know who is in the building. Third, compliance: privacy notices and safety briefings must be confirmed and documented. Fourth, relief: reception should not become a switchboard for the question of where the host is.

What digital systems actually change

The invitation carries the appointment, address and a QR code; the guest checks in at a tablet, confirms notices and receives a printed badge if required; the host is notified automatically. For the organization a complete, exportable list emerges – which doubles as presence evidence in an emergency.

The data protection angle

Visitor data concerns people with no contractual relationship to the organization. What matters therefore is data minimization, a visible notice at check-in, a separate short retention period and a limited circle of people with access. The visitor management and GDPR guide covers this in detail.

From the definition to your own offices

Terminology is where an evaluation starts, not where it ends. Thirty minutes with the product open turns the concept into your floor plan.
